Refund Policy

We believe in treating customers fairly. Our goal is to build long-term relationships, not create frustration. If you have a billing concern, service issue, or refund request, please contact us. A human employee will review your request and work with you toward a reasonable resolution.
Because Diversified Payday provides subscription-based payroll software and services rather than physical products, we do not have a return policy. This Refund Policy governs refunds, credits, cancellations, and related matters.
30-Day Free Trial
Eligible new paid subscriptions include a 30-day free trial.
A valid payment method may be required when the trial begins. No payment method is required for no-charge plans, currently the Free Payroll plan.
During the trial, the Customer may use the features available under the selected plan, subject to these Terms and any feature-specific requirements.
Unless cancelled before the trial ends, the subscription automatically converts to a paid subscription at the then-applicable price.
Upgrading does not restart or extend the trial. The trial period runs for 30 days from the date the Customer account was created, so upgrading from a no-charge plan within that period provides only the unused remainder, and upgrading after that period begins paid billing immediately.
No-charge plans carry no subscription fee, so no subscription refund arises from them. Pay-per-use year-end W-2 and 1099-NEC form charges remain refundable only under the terms below.
If the subscription is cancelled during the trial, no recurring subscription charge will be made for the first paid period.
Trial-account data may remain available for at least 90 days after the trial ends, subject to the Data Retention and Deletion Policy.
Diversified Payday may offer a one-time trial extension at its discretion. A trial extension is not guaranteed and does not create an obligation to extend other trials.
Subscription Charges
Subscription refund requests are reviewed on a case-by-case basis.
Approved remedies may include:
- Full refunds
- Partial refunds
- Prorated refunds
- Account credits
- Additional service time
- Other accommodations deemed appropriate by Diversified Payday
All refund and credit decisions are made in Diversified Payday's sole discretion.
Approval of one refund request does not create an obligation to approve future refund requests.
Subscription Renewals and Cancellation
Subscriptions automatically renew unless canceled.
To avoid renewal charges, cancellation requests should be submitted no later than the day before the next renewal date.
If a renewal charge has already occurred, refund requests will be reviewed under this Refund Policy.
Cancellation of service does not automatically entitle a customer to a refund.
Subscription Fees and Payroll Runs
Active paid subscriptions include unlimited payroll runs, subject to the features and limits of the selected plan.
Once a paid subscription period begins or platform functionality is used during that period, the related subscription fee is generally considered earned and may not be refundable.
Customers remain responsible for reviewing payroll information prior to finalizing payroll runs.
However, Diversified Payday may approve refunds, credits, or other accommodations at its sole discretion.
Customer Data Entry Errors
Customers are responsible for the accuracy of information entered into the system.
This includes, but is not limited to:
- Employee information
- Contractor information
- Wage information
- Hours worked
- Salary information
- Tax withholding information
- Deductions
- Benefits
- Payroll settings
- Payment information
Refunds generally will not be provided for customer-entered errors.
Where available, customers may have the ability to delete payroll runs and recreate them using corrected information.
Diversified Payday subscriptions include unlimited payroll runs during an active subscription period.
Year-End Forms
Fees associated with year-end forms may be non-refundable once processing has begun.
This includes, but is not limited to:
- W-2 forms
- W-3 forms
- 1099-NEC forms
- 1099-MISC forms
- 1096 forms
- Corrected forms
- Amended forms
- Related year-end reporting services
Once generation, preparation, processing, filing preparation, or related work has begun, associated fees may be considered earned and non-refundable.
Payroll Taxes and Tax Filings
Customers remain responsible for their tax obligations. Diversified Payday provides tax calculations, forms, filing assistance, or transmission services only when those services are included in the Customer's plan or separately purchased.
Diversified Payday shall not be responsible for customer-authorized actions, customer failures to authorize payments, incorrect information provided by customers, governmental processing delays, banking delays, or circumstances outside Diversified Payday's reasonable control.
Refunds are generally not available for tax penalties, tax interest, missed deposits, or filing issues arising from customer actions, customer omissions, or third-party actions.
Service Interruptions
If a system outage, service interruption, or technical issue attributable to Diversified Payday materially prevents customers from using the Service, Diversified Payday may, at its sole discretion, provide:
- Refunds
- Partial refunds
- Service credits
- Additional subscription time
- Other accommodations
The appropriate remedy will depend on the circumstances involved.
Access to Data Following Cancellation
Diversified Payday does not believe in unnecessarily withholding a Customer's historical records.
Following cancellation, active payroll processing and other paid functionality will be disabled. Eligible Customers are intended to retain authenticated read-only access to historical account data, payroll records, reports, and available tax documents for at least seven years.
Read-only access is subject to applicable law, identity verification, security requirements, technical feasibility, platform availability, legal holds, enforcement actions, and other legitimate operational limitations.
The seven-year period is a Diversified Payday customer-access practice. It does not mean that every record is legally required to be kept for exactly seven years.
Customers remain responsible for downloading and independently preserving records they are required to maintain.
Information may be retained longer where reasonably necessary to:
- Comply with law
- Resolve disputes
- Enforce agreements
- Maintain security
- Prevent fraud
- Complete audits
- Honor legal holds
- Support legitimate business operations
Additional details appear in the Data Retention and Deletion Policy.
Chargebacks and Payment Disputes
We understand that billing misunderstandings occasionally occur.
Before initiating a chargeback, bank dispute, payment reversal, or similar action, we strongly encourage customers to contact us first.
A human employee will review the matter and attempt to resolve the issue fairly and promptly.
In many cases, working directly with us results in a faster and more favorable outcome than initiating a payment dispute.
If a chargeback or payment dispute is initiated, Diversified Payday reserves the right to:
- Suspend account access
- Restrict services
- Terminate services
- Contest the dispute
- Recover applicable chargeback fees, collection costs, legal fees where permitted by law, and other amounts owed
Nothing in this section limits any rights a customer may have under applicable law.
Refund Processing
Approved refunds will generally be issued to the original payment method whenever possible.
Refund processing times vary based on:
- Payment processor requirements
- Banking systems
- Credit card company processing times
- Other third-party processing requirements
Diversified Payday cannot control the speed at which financial institutions post refunds once submitted.
