- Step 1: Verify the Social Security Number (SSN) matches the employee's legal name.
- Step 2: Identify filing status (Single, Married filing jointly, or Head of Household).
- Step 3: Input data from Steps 2 through 4 of the W-4 into your payroll system to calculate accurate withholding.
2. Employment Eligibility Verification (Form I-9)
The I-9 is not a tax form, but it is a mandatory payroll prerequisite. You must verify the employee's identity and legal authorization to work in the United States.
- Section 1: Must be completed by the employee no later than the first day of employment.
- Section 2: The employer must physically examine original documents within three business days of the hire date.
- Retention: Keep I-9 forms for three years after the date of hire or one year after the date employment ends, whichever is later.
