An ACH prenote is a zero-dollar transaction sent to the employee's financial institution to verify the validity of the routing and account numbers before live funds are transmitted. While not federally mandated, it is a best practice for risk mitigation.
- Timing: Prenotes must be sent at least three to six business days prior to the first live payroll run.
- Verification: If the receiving bank does not return a Notification of Change (NOC) or a Return within this window, the account is deemed valid.
- NOC Handling: If you receive an NOC, you must update the employee's banking profile within six banking days or prior to the next live entry, whichever is later.
2. ACH Processing Windows and Timing
To ensure employees receive funds on payday, payroll administrators must respect the 'Effective Entry Date' and transmission deadlines.
- Standard Lead Time: Most providers require a 2-day or 4-day lead time. For a Friday payday, a 2-day lead requires the file to be transmitted by Wednesday at the ODFI's (Originating Depository Financial Institution) cutoff time.
- Same-Day ACH: While available for emergency corrections, Same-Day ACH has specific transaction limits and higher per-entry fees.
- Settlement: Funds are typically debited from the employer's account 24-48 hours before the employee's settlement date.
3. Managing Failed Direct Deposits
A failed direct deposit occurs when the RDFI (Receiving Depository Financial Institution) cannot post the credit. This triggers an ACH Return Code.
